What is Benefit Services?
This service provides patient insurance benefit information. There are currently over 30 Authorized Dealers selling the Trojan System. Dental offices have been using Trojan's computerized Benefit Services since 1988.
There are two ways to use the service in your office. You may choose to purchase the service directly from one of our Authorized Dealers in which case the insurance information is generally integrated into your patient records, or you may choose to purchase the Trojan Stand-Alone version directly from Trojan. The Stand-Alone system does NOT integrate into your patient files.

How does it work?
The benefit information is provided to you by Trojan and loaded directly onto the hard drive of your computer. If you use the system through an Authorized Dealer they will provide an interface which takes the information from the standard format and converts it into a format that can be used by your system.

Is the Benefit Service available in either a DOS or Windows format?
The program is available in both formats. The Windows program will run on Windows 95 or higher. The DOS based format will also run on either Windows 3.1 or Windows 95 and up. You will simply need to create an icon which will allow you to move in and out of Trojan easily.

Is the Benefit Service Apple Macintosh compatible?
The Stand-Alone system will run on Apple Macintosh.
I-Mac users must have a floppy drive to process the program and updates.

What are the hardware requirements for Stand-Alone?
In order for the Stand-Alone version to work on your computer you must meet the following hardware requirements:
    System must have DOS, Windows 95 or up, or Macintosh operating systems.
    Need to have a minimum of 65 megabytes of hard disk space free **
    Need 540K of unused memory (Macintosh requires more)
    If you are on a network the network must be Novell or Netbios compatible. ***

** Some geographical areas use slightly more disk space and others less, we will tell you exactly what space is needed for your area. Also, some Dealers require additional space for their programs. You will also need to allow disk space for growth of the database.

*** Macintosh DOES NOT run on network.

What are the hardware requirements for the system through an Authorized Dealer?
Each Dealer's requirements vary. You should contact you Dealer to get the specific requirements for their system, as well as the hard disk space required. Some Dealers require additional hard disk space.

How do I get updates?
Each month Trojan will send updates directly to you on floppy disk, regardless of whether you are using the Stand-Alone or Dealer version. Your software Dealer (or Trojan for the Stand-Alone version) will provide you with the procedures for updating your system.

How do I get started?
You may either contact Trojan by e-mail or directly by phone at 800.451.9723 ext. 3 or you may call your Authorized Dealer. We will send you the appropriate paper work. If you are purchasing through a Dealer, simply let us know and we will take care of that as well. After you complete the paperwork, return it to us and the data will be sent directly to you to install.

What if we are already Trojan Clients?
You still need to contact Trojan or your Authorized Dealer to obtain the appropriate paperwork.

Can we buy Trojan's Benefit Service without going to our Dealer?
Yes, you may purchase the Stand-Alone version directly from Trojan. Even if your Dealer is Authorized, as long as your system meets the hardware requirement, you may choose to use the service either way.

What if we want to switch from Stand-Alone to an Authorized Dealer or from one Authorized Dealer to another?
No problem. There will be no additional set-up charges, however there will be a $50 processing fee for producing a new full load of data. Simply let us know and we will handle the details.

What is the Managed Care program?
The Managed Care program is a database of benefit information for the DMO or capitation plans offered by the various administrators.

How would the Managed Care program benefit me?
If your office accepts these plans, you can have all the benefits provided to you by simply entering either the plan number or plan name. This will save you having to constantly refer to the various manuals for the patient’s co-payments, supplemental payments due you from the Administrator, lab reimbursement information, visit fees, broken appointment fees, exclusion & limitations, etc. Not only is all the pertinent information provided, it is displayed in an easy to understand format.

How does it work?

DrDirect Electronic Claims FAQ 
What is DrDirect?
DrDirect is a software program that enables you to send your insurance claims electronically rather than sending them on paper claim forms.

Will it work with my dental management software?
There are some management programs that DrDirect will interface with. Please call the DrDirect support team to see if it interfaces with your program.

What are the hardware requirements for DrDirect?
Pentium 133 processor
20 mgs of free hard disk space
CD-Rom Drive (no minimum speed required)
Laser or inkjet printer, laser is recommended
Hayes compatible modem with a minimum baud rate of 14,400 or higher.  Win modems are not recommended.

How do I know if a carrier accepts electronic claims?
There are different ways to find out if a carrier accepts claims electronically. It will usually be noted on the patient's insurance card or you may refer to our Payer List(PDF)

Why should I send my claims electronically, rather than mailing them on paper?
When you send a claim on paper, you prepare claim form, prepare envelope, stamp and mail. When the insurance company receives the claim it is opened, sorted and sent to data entry. The claim is then keyed into their system. The claim is now in the insurer’s claim processing system. Any errors? Claim is returned and you start all over again.
When you send a claim electronically with the DrDirect program. The claim is error checked before it leaves your office. The software then moves the dental claim into an electronic format which can be transferred to a clearinghouse for direct distribution to the required insurers. Your claim is at the carrier the next business day. Once in the carriers system, the claim is processed faster saving time and money for both the provider and the carrier.

Does DrDirect come in a Windows format?
The DrDirect program is available in a Windows format only.
 
What are the hardware requirements?
You will need a Hayes compatible modem. Minimum modem speed of 14,400 is recommended. You will also need a printer and 5MB of hard disk space.

What about attachments?
If an insurance carrier should need additional information in order to process a claim, that information will be requested of you electronically and given special processing when you return it. You will normally receive this request within three days. Fewer and fewer insurance carriers are requesting attachments.

How will I know that claims were transmitted successfully?
You will get a receipt for your claims when you transmit. You will receive an accepted claim report within 24 hours.
